Penny Bookkeeper is an internal bookkeeping assistant used by Higher Ground Landscaping LLC, a licensed landscape maintenance and installation company serving the greater Phoenix area.

Penny connects to our own QuickBooks Online company file and lets authorized staff work with our books in plain English — running profit and loss statements, balance sheets, transaction lists and vendor summaries, and recording expenses, deposits and journal entries.

      Who can use it

Penny is a private, internal tool. It is not offered to the public, there is no sign-up, and it is not available for use by other businesses. Access is limited to authorized Higher Ground Landscaping personnel using company-owned equipment.

      How it works

Penny runs locally on a company-owned computer. It connects to QuickBooks Online through Intuit’s official API using OAuth 2.0, and reads or writes only the QuickBooks company that an authorized user has explicitly connected. Access can be revoked at any time from within QuickBooks Online.

      Connect Penny to QuickBooks

Connecting authorizes Penny to read and write data in one QuickBooks Online company. You will need the QuickBooks Online sign-in for that company, with administrator rights.

      1. On the company computer, open the assistant and ask it to connect to QuickBooks.
      2. A browser window opens to Intuit’s sign-in page. Sign in with your QuickBooks credentials.
      3. Choose the QuickBooks company Penny should work with.
      4. Review the access being requested, then select Connect.
      5. You will be returned to a confirmation page. The connection is now active.

Penny requests accounting scope only (com.intuit.quickbooks.accounting). This allows it to read the chart of accounts, transactions, reports, customers and vendors, and to create expenses, deposits, journal entries and vendor records. Penny does not request payroll or payments access.

Access tokens renew automatically. If the connection lapses, repeat the steps above to reconnect.

      Disconnect Penny from QuickBooks

You can revoke Penny’s access at any time. Disconnecting takes effect immediately.

      1. Sign in to QuickBooks Online.
      2. Open the Apps section, then select My Apps.
      3. Find Penny Bookkeeper in the list.
      4. Select the Action menu, then choose Disconnect.
      5. Confirm when prompted.

Penny’s access tokens are revoked by Intuit and stop working immediately. Penny can no longer read from or write to your QuickBooks company until it is connected again.

Penny also stores its connection tokens locally on the company computer, in a private folder in the user account. To remove them, delete the .penny-qbo folder in that user’s home directory.

Disconnecting does not alter or delete anything in your QuickBooks company. Records Penny created remain in QuickBooks and can be edited or deleted there like any other entry.
