Privacy Policy
Who we are
Penny Bookkeeper is an internal tool operated by Higher Ground Landscaping LLC, Mesa, Arizona (“we”, “us”). This policy explains what data Penny handles and how.
Penny is used solely by our own authorized personnel on our own QuickBooks Online company. We do not offer Penny to other businesses and we do not collect data from members of the public through it.
What data Penny accesses
When connected to a QuickBooks Online company, Penny can access accounting data in that company, including the chart of accounts, transactions, invoices, expenses, deposits, journal entries, customer and vendor records, and standard financial reports such as profit and loss statements and balance sheets.
Penny accesses this data only when an authorized user asks it a question or requests an action.
What Penny does not access
Penny requests accounting scope only. It does not request or receive payroll data, payment card data, or bank account credentials. It does not access your QuickBooks password.
Where data is stored
Penny runs locally on a company-owned computer. Its connection credentials — the Intuit client identifier and secret, and the OAuth access and refresh tokens — are stored in a private, owner-readable-only folder on that computer. They are not uploaded to any server operated by us.
Penny does not maintain its own database of your accounting records. It retrieves data from QuickBooks Online at the moment it is asked, uses it to answer, and does not retain a separate copy.
Third parties
Two third parties are involved in normal operation, and we want to be direct about the second one:
Intuit Inc. — Penny communicates with QuickBooks Online through Intuit’s official API. Intuit’s handling of your data is governed by Intuit’s own privacy policy.
Anthropic PBC — Penny operates as an extension of an AI assistant. When an authorized user asks a bookkeeping question, the accounting data needed to answer it is sent to Anthropic’s AI service for processing, and the answer is returned. This means QuickBooks data leaves the local computer and is processed by Anthropic under their terms and privacy policy. Anyone using Penny should understand this before connecting a company file.
We do not sell, rent, or share accounting data with advertisers, data brokers, or any other third party.
Security
Credentials are stored with owner-only file permissions on a company-controlled computer. All communication with Intuit uses encrypted HTTPS connections. Access to the computer running Penny is limited to authorized personnel.
No system is perfectly secure. If we become aware of a breach affecting connected accounting data, we will act promptly to contain it and notify affected parties as required by applicable law.
Retention
Connection tokens are retained on the local computer until the connection is disconnected or the credentials folder is deleted. Accounting records themselves live in QuickBooks Online and are governed by your QuickBooks account, not by Penny.
Your choices
You can disconnect Penny from a QuickBooks company at any time through QuickBooks Online, which immediately revokes its access. Instructions are at /penny/#disconnect.
Children
Penny is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy as Penny changes. Material changes will be reflected by a revised effective date above.

Terms of Use and End User License Agreement
1. Agreement
These terms govern use of Penny Bookkeeper (“Penny”), an internal software tool provided by Higher Ground Landscaping LLC, Mesa, Arizona (“we”, “us”). By using Penny or connecting it to a QuickBooks Online company, you agree to these terms. If you do not agree, do not use Penny.
2. License
We grant authorized Higher Ground Landscaping personnel a limited, non-exclusive, non-transferable, revocable license to use Penny for internal bookkeeping purposes on company-owned equipment. Penny is not licensed for use by, or on behalf of, any other business.
3. Acceptable use
You agree to use Penny only for lawful internal accounting purposes, only with QuickBooks companies you are authorized to access, and in compliance with Intuit’s applicable terms of service.
4. Restrictions
You may not: sublicense, sell, rent, or distribute Penny; use it to access QuickBooks data you are not authorized to access; attempt to circumvent its access controls or Intuit’s; or use it in a way that violates any applicable law or any agreement you have with Intuit.
5. Accuracy — not professional advice
Penny summarizes and reports on data from QuickBooks Online, and can create accounting records. Its output is generated in part by an automated AI system and may be incomplete or incorrect.
Penny does not provide accounting, auditing, tax, legal, or financial advice. Nothing it produces is a substitute for review by a qualified accountant or tax professional. You are responsible for verifying any figure, report, or entry before relying on it, filing it, or acting on it. Always confirm records Penny creates against QuickBooks itself.
6. Your data
Handling of accounting data is described in the Privacy Policy above, which forms part of these terms. That policy discloses that QuickBooks data is processed by a third-party AI service in order for Penny to function.
7. Relationship to Intuit
Penny is an independent tool. It is not affiliated with, endorsed by, sponsored by, or supported by Intuit Inc. QuickBooks and QuickBooks Online are trademarks of Intuit Inc. Your use of QuickBooks Online remains governed by your agreement with Intuit. We are not responsible for the availability, accuracy, or behavior of Intuit’s services.
8. No warranty
Penny is provided “as is” and “as available”, without warranty of any kind, whether express or implied, including any implied warranty of merchantability, fitness for a particular purpose, accuracy, or non-infringement. We do not warrant that Penny will be uninterrupted, error-free, or that any result it produces will be correct.
9. Limitation of liability
To the maximum extent permitted by law, we are not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or business, arising out of or related to your use of Penny — including reliance on any figure, report, or record it produces. This applies regardless of the legal theory and even if we have been advised of the possibility of such damages.
10. Termination
We may suspend or terminate access to Penny at any time, for any reason, without notice. You may stop using Penny at any time by disconnecting it from QuickBooks Online as described at /penny/#disconnect.
11. Changes
We may revise these terms. Continued use after a revision constitutes acceptance of the updated terms. Material changes will be reflected by a revised effective date above.
12. Governing law
These terms are governed by the laws of the State of Arizona, without regard to its conflict of law provisions. Any dispute shall be brought in the state or federal courts located in Maricopa County, Arizona.
